Terms of service

The agreement between you and Khitamo, in plain English.

Last updated: 1 November 2026

The short version: Khitamo reads your payment data to show you failed instalments and who to chase. We never hold your money or your clients' card details, you own your data, and you can delete everything at any time.

1. Who we are

Khitamo (“Khitamo”, “we”, “us”) is run by [name to be added], a sole trader based in the United Kingdom. Our postal address is [postal address to be added]. You can reach us at support.khitamo@gmail.com.

These terms are an agreement between us and the business that signs up (“you”). By creating an account you accept them on behalf of that business.

2. Who can use Khitamo

Khitamo is for businesses only. To use it you must:

  • be at least 18 and have authority to accept these terms for your business;
  • use Khitamo for your business, not as a consumer; and
  • give us accurate details when you sign up and keep them up to date.

3. Your account

Keep your password safe and don't share your login with anyone outside your business. You're responsible for what happens under your account. If you think someone else has got into it, change your password and email us straight away.

4. What Khitamo does, and doesn't do

Khitamo connects to the payment platform you choose (Whop today, with others to follow) and gives you:

  • an audit of failed payment-plan instalments over the last 12 months, what was recovered and what was lost;
  • a call list of clients with a failed payment, ranked by what they still owe, for your own team to work through; and
  • automatic recovery (coming soon): reminders sent to your clients in your name, with a link to update their card on your payment platform's own secure page.

To be clear about what we are not:

  • We are not a payment processor. Your clients pay you directly through your payment platform, and we never hold or move funds.
  • We never see or store card numbers.
  • We are not a debt collector. We don't contact your clients in our own name, and we don't make calls.

Audit figures are calculated from the data your payment platform gives us. We work hard to make them accurate, but we can't guarantee them, and we don't promise that any particular amount will be recovered.

5. Connecting your payment platform

When you connect a platform, you confirm you're allowed to give us access to that account. For the audit and call list we ask only for read-only access: it can see payments, members and plans, but it can't charge, refund or change anything. Recovery will need a few extra permissions, which you add yourself only if you choose to turn it on.

We store your API key encrypted and never show it again in full. You can disconnect at any time from the Integrations page. When you do, we delete your key, your audits and your call list notes. You can also delete the key inside your payment platform.

Your payment platform is a separate company with its own terms. We aren't responsible for its availability, its data or its decisions.

6. Your clients' personal data

Your payment data includes personal data about your clients, such as names, email addresses and payment history. For that data, you are the controller and we are your processor under UK data protection law. That means:

  • we only use it to provide Khitamo to you, following your instructions as set out in these terms and your use of the product;
  • anyone who works on Khitamo is bound to keep it confidential;
  • we protect it with appropriate security, including encryption of your API key and strict per-account access controls;
  • we use a small number of trusted providers to run Khitamo (sub-processors), listed in our privacy policy. We'll tell you before adding a new one, and you can object by closing your account;
  • we'll help you respond to requests from your clients about their data, and with any security or data protection questions you need to answer;
  • we'll tell you without undue delay if we become aware of a breach affecting your data;
  • when you disconnect or delete your account, we delete that data from our live systems straight away. Any copies in our providers' backups are removed as those backups expire; and
  • we'll give you the information you reasonably need to show that we meet these obligations.

You're responsible for having a lawful basis to share your clients' data with us and for telling your clients how you use their data, for example in your own privacy notice.

7. Recovery messages

When automatic recovery is available and you turn it on:

  • messages go out in your business's name and brand, and you're responsible for their content and for your relationship with your clients;
  • text messages will only be sent to clients who agreed to receive them, and opt-out requests (such as replying STOP) are honoured straight away;
  • you must not use Khitamo to harass, threaten or mislead anyone, or to chase money that isn't genuinely owed.

We may pause messages if we believe they break these rules or the law.

8. Fees

The audit and call list are currently free. Automatic recovery, when it launches, will cost US$49 a month plus 15% of the money recovered, with the 15% capped at US$1,000 a month. Before you turn recovery on, we'll show you exactly how “recovered” is counted and how billing works, and nothing is charged until you agree to it.

We'll give you at least 30 days' notice by email before changing our prices.

9. Fair use

You agree not to:

  • use Khitamo for anything unlawful or fraudulent;
  • try to access another customer's account or data, or get around our security;
  • copy, reverse-engineer or resell Khitamo, or scrape it with automated tools; or
  • connect a payment account you don't have permission to use.

10. Our service

We're improving Khitamo all the time, so features may change. Anything marked “coming soon” isn't available yet and may change before it launches. We aim to keep Khitamo running smoothly but can't promise it will always be available or error-free.

We may suspend an account if we need to protect Khitamo, our customers or their clients, for example after a security problem or a serious breach of these terms. Where we reasonably can, we'll tell you first.

11. Ownership

Your data is yours. You give us permission to use it only to provide Khitamo to you. Khitamo itself, including its software, design and brand, belongs to us. If you send us feedback or ideas, we may use them to improve Khitamo without owing you anything.

12. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law.

Otherwise:

  • we aren't liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss;
  • we aren't liable for problems caused by your payment platform or other services we don't control; and
  • our total liability to you in any 12-month period is limited to the greater of the fees you paid us in that period and US$100.

13. Ending the agreement

You can stop using Khitamo at any time by deleting your account from the Account page. We can end the agreement by giving you 30 days' notice by email, or immediately if you seriously break these terms. When the agreement ends, we delete your account and data as described in section 6.

14. Changes to these terms

We may update these terms as Khitamo grows. If a change matters, we'll email you or tell you in the app at least 14 days before it takes effect. If you keep using Khitamo after that, the new terms apply. If you don't agree, you can delete your account.

15. General

  • These terms, together with our privacy policy, are the whole agreement between us about Khitamo.
  • If any part is found to be unenforceable, the rest still applies.
  • Only you and we have rights under these terms; no one else can enforce them.
  • You can't transfer your account to someone else without our agreement. We may transfer this agreement to a company we set up to run Khitamo, and we'll tell you if we do.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
